FAQ: Cynorix Secure File Sharing

Cynorix Secure File Sharing (CFS) enables users to send and receive End-To-End Encrypted files using only their computer and mobile device. No password needs to be shared, not the encryption key originally used. To start using CFS, you will need a computer and a mobile device.

Navigate to https://cytin.uwaterloo.ca:3000/registration. Fill out the form on the registration page. All fields must be filled out.

You can login by username or email on the login page. Login page

After registering your account, there will be a confirmation email sent to the email that you registered with. Clicking on “Complete Cynorix Account Registration” will verify your account.

1. Navigate to “Device Management“.

2. Click on “Add new device

3. Follow the instructions on this page to verify your device.

Start the verification process

If you have not already downloaded the mobile application, click here to start the download. Launch Cynorix 2FA Mobile App and scan the QR code to finish the verification process.

After scanning the QR code, with your verified device, on the meeting management portal, you will see this home screen on your phone.

After you successfully verified your mobile device, you will see your handheld device on the “Devices” page.

Download the computer application here. You will be prompted to scan the QR code with your registered mobile device. 

 

After scanning,  your computer will be verified.

 

1. Launch the Desktop application. Login with your Email.

2. Login to access the encryption screen.

 

Ensure File Action is set to “Encrypt”.

 

Select the file you wish to encrypt.

 

 

Enter the number of uses which is the number of times the file can be decrypted.


 

 

Set the expiry date for when it has passed, all remaining keys to the file will be permanently deleted.


If you would like an email confirmation each time the file is decrypted, check the box and enter your email address.

 

You can select how the recipient can decrypt the file (no authentication, by SMS, by QR code, by Smart Authentication).

 

If you select SMS Authentication, you need to input the receiver’s phone number.

 

If you select QR-Code Authentication, you need to input the receiver’s email address. Note, the email address must belong to a verified user of Cynorix Secure File Sharing.

Click on Submit to successfully encrypt your file. 

 

3. The encrypted file is in the same location as the original file.

 

 

You can select multiple files under ‘File Name’. Make sure to select all files at the same time. Each time you press ‘Choose files’, your current selection will be deleted. Hold down ‘CTRL’ when clicking individual files to select multiple files. By default the folder name will be the date and time the file was encrypted and when the files will expire. It is a zipped folder containing each individual encrypted file.

You can edit the folder name as you wish.

There are four ways to decrypt a file. There is no limit to the number of files that you can decrypt. For all files, you should follow these steps:

 

1. Choose the file you want to decrypt and select “Decrypt” under File Action.

 

2. Click on Submit to decrypt the file. Your decrypted file will be in the same location as the encrypted (.cy) file.

1. No Authentication: These files will be decrypted immediately after pressing “Submit”. No extra steps are needed. The decrypted file is found in the same location as the encrypted file.

 

2. SMS Authentication: Tap “Click to send SMS” under “You have to authenticate via SMS, Ready?”. Check your phone for the sent SMS text and input the sent code in the box beside “Enter the sent code” and click “Check”. When the code has been verified, you can find your decrypted file in the same location as the encrypted (.cy) file.

 

Click on “Click to Send an SMS”.

 

Enter the code sent to the mobile device and click “Check”.

3. QR Authentication: Scan the QR code, appearing on your screen, with your verified mobile device. After successfully scanning the QR code, click “Please click here after scanning the QR-code”. Now click on “Decrypt Now” and your decrypted file will be in the same location as the encrypted (.cy) file.

 

 

4. Smart Authentication: Ensure your computer and verified mobile device are connected to the same Wi-Fi network.

If smart authentication fails, you will be prompted to scan a QR code. After scanning the QR code appearing on your application with your verified mobile device, you will be able to download the decrypted file. See 3. QR Code decryption.

Your encrypted/decrypted file is located in the same place that the original file is located in.

Yes, you need to login to encrypt a file.

File management lists all your active and expired encrypted files. You can delete keys to active files here.File Management

 

 

A lock icon means the file has active keys remaining.

A trash icon means the file has no active keys remaining and is no longer able to be decrypted.

You can delete all keys to an active encrypted file under File Management by clicking the delete button on the right hand side. File Management

Yes! Check “Email Confirmation” on the desktop app and input your email to receive a confirmation email each time your file is decrypted.

Under “Expiry Date/Time” choose which future date and time you would like the file to expire.

In the Desktop application, when you are encrypting the file, you can input how many times a file can be decrypted under “Number of uses”.

There is no limit to the amount of files that you can decrypt.

When you reach the limit on the number of files you can encrypt per month, you will be given the option to upgrade your account on the Desktop App.
